The Devon Rural Archive (DRA) recognises that your privacy is important to you and that you care about how your personal data is used, stored and shared. We respect and value the privacy of our subscribers and will only collect information about you in ways that are useful to you and in a manner consistent with your rights and our obligations under the law. The DRA manages all personal data in line with the General Data Protection Regulation (GDPR), effective from May 2018.
What is personal data?
Your personal data is information about you, which may have been provided directly or indirectly with your consent. It may be data that directly identifies you or data that can be put together with other data to identify you.
What types of data do we collect?
When you contact us, visit us or use our resources, we may collect your personal data to provide a service. The type of data collected might include:
- full name and personal details including contact information (e.g. home address and address history, email address, home and mobile telephone numbers)
- date of birth or age
- gender
- financial information
- information and opinions on the services we have provided
- education and employment details (if applying for paid positions, to be a volunteer or for work experience)
- details of electronic devices you may use to interact with us
This data is gathered from calls, emails, social media messages, written communications and other communications you have with us. The information you provide when registering to use our Research Library, subscribing to our ‘opt-in’ mailing list and from purchases made through our website is also collected.
We use your data to:
- contact you with the relevant news about the archive and details of events and exhibitions;
- manage your payments;
- respond to communications from you.
How is your data stored?
We only keep your data for as long as we need it for the purposes outlined above.
All data is secure and can only be accessed by staff who have reason to do so, in the course of delivering DRA services. For mailing purposes, client email addresses are stored within an automated mail system that is password protected.
All data stored by the DRA can be deleted upon request.
Do we share your data?
No. The DRA does not and will not share, give or sell your data to any third parties except where this is necessary to fulfil operational or legal requirements.
Can you access the data we store about you?
Yes. You have the legal right to ask for a copy of any personal data held by us (where such data is held) on payment of a small fee. If at any time you wish to withdraw your consent for the DRA to hold the information you have given, your contact details will be deleted upon receipt of written communication from you.
